Constituent Services Aide - Part-time

Responsibilities
Performs a variety of professional administrative duties in support of the Office of Communications and Public Affairs; performs a wide range of administrative support tasks, ensuring the administrative portions of the executive's work are accomplished
Assesses the needs of the citizens and identifies appropriate division for proper referral
Maintains records and follows up on matters until they are resolved
Maintains a calendar of activities, meetings and various events for the Commission; schedule meetings and coordinate activities with other City units and groups, the public and outside agencies
Review, research and summarize a variety of fiscal, statistical and administrative information as assigned; coordinate and participate in the preparation of various reports, memoranda and correspondence
Answers telephone calls and inquiries from residents, business owners, as well as other government officials, staff, and the general public
Files office correspondence and records
Attends evening meetings and special events as required
Perform related duties and responsibilities as required
Take photos and videos at events as required
Prepares legislative briefs for elected officials as required
Maintain a record of formal matters being considered by the County and State legislators for the elected
Conduct research for individual Commissioners and/or Mayor on a wide variety of issues
Qualification
Required
High School Diploma plus two (2) years of experience in contact work involving problem assessment and complaint resolution
Must possess a valid Florida Driver's license throughout employment
Thorough knowledge of community resources, City activities/programs
Knowledge of computer, word-processing and spreadsheets
Considerable knowledge of the organizational structure of local government
Considerable knowledge of office practices and procedures
Ability to establish and maintain effective working relationships with the general public, employees, and officials
Ability to deal, tactfully, courteously and patiently with the public
Ability to communicate effectively, both orally and in writing
Ability to accomplish assignments delegated through written and/or oral directions
Ability to collect and compile data and keep accurate records
Ability to work with minimal supervision
Must have the use of sensory skills in order to effectively communicate and interact with other employees and the public through personal contact, the use of the telephone and/or other City-issued technology devices
Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach and twist under desks and around furniture; to lift, carry, push, and/or pull moderate to heavy amounts of weight up to 20 lbs.; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and to verbally communicate to exchange information
