Responsibilities

Reconcile daily bank activity in the ERP system, including ACH, wire, check deposits, fees, and interest, ensuring accurate general ledger coding
Apply and document customer payments (check, ACH, wire, credit card) to open invoices; research and resolve discrepancies, unapplied, or partial payments
Review, correct, post, and distribute all sales orders by end of day
Prepare and distribute daily end-of-day reports summarizing sales, bookings, backlog, and notable exceptions
Monitor and respond to the AR inbox, addressing customer inquiries related to balances, payments, invoices, credits, statements, and payment terms with timely, professional communication
Manage assigned customer accounts to ensure timely payment and maintain AR over 90 days below 2.5% of total receivables
Proactively follow up on overdue invoices, document collection efforts, negotiate payment plans, and escalate issues as needed
Investigate and resolve billing disputes, payment application errors, and pricing or account discrepancies in collaboration with sales, customer success, and operations teams
Prepare and distribute customer statements, aging reports, and account summaries as needed
Identify, research, and correct sales invoice errors related to pricing, quantities, or customer details; process corrections in the ERP system and communicate updates to customers
Prepare and process credit memos and refunds for returns, billing errors, and approved pricing adjustments in accordance with company policy
Prepare schedules and supporting documentation for year-end tax preparation, including AR aging, bad debt analysis, sales tax reconciliations, and accruals, for external CPA review
Complete monthly bank reconciliations for all accounts by the second business day to support a six-day close; investigate and resolve reconciling items and prepare audit documentation
Support month-end close through balance sheet reconciliations, accruals, adjustments, variance analysis, and GAAP-compliant journal entries
Maintain general ledger accuracy through regular review, reclassifications, and proper departmental expense allocation
Prepare and file quarterly sales and use tax returns; maintain exemption certificates and ensure multi-state tax compliance
Prepare ad hoc financial reports, analysis, and data summaries as requested by management

Qualification

Required

Minimum 2-4 years of progressive accounting experience in a full-cycle accounting role, including demonstrated experience with AR, AP, bank reconciliations, and general ledger accounting
Experience with month-end close processes, financial reporting, and account reconciliations
Associate's degree in Accounting, Finance, or related field. Bachelor's degree is strongly preferred
Strong understanding of Generally Accepted Accounting Principles (GAAP)
Proficiency with accounting software and Enterprise Resource Planning (ERP) systems; experience with Microsoft Dynamics 365 Business Central is strongly preferred
Microsoft Excel skills including VLOOKUP and pivot tables
Familiarity with electronic payment systems, ACH processing, wire transfers, and remote deposit capture
Experience with sales and use tax compliance and reporting
Ability to work independently and thrive in a demanding environment
Excellent written and verbal communication skills in both English and Spanish
Ability to process internal and external requests in a fast-paced, dynamic environment while maintaining a professional demeanor
Ability to pass pre-employment screening, which includes a drug test and a background check
Ability to work onsite 8:30am – 5:00pm EST Monday-Friday, with remote flexibility available by exception for extenuating circumstances
Legally authorized to work in the U.S. and will not require sponsorship

Preferred

Bachelor's degree is strongly preferred
Experience with Microsoft Dynamics 365 Business Central is strongly preferred
