Responsibilities

Conduct outbound calls, texts, and emails to potential participants using approved scripts and study materials

Respond promptly to inbound inquiries from advertising campaigns, referrals, and community partners

Build rapport with potential participants to encourage engagement and retention

Perform initial pre‑screening to assess eligibility based on study-specific inclusion/exclusion criteria

Accurately document pre‑screening outcomes in the recruitment database or CTMS

Schedule qualified participants for on-site or virtual screening visits with the clinical team

Maintain accurate, timely records of all outreach attempts, conversations, and outcomes

Manage recruitment pipelines to ensure consistent follow-up and conversion

Update participant profiles and ensure data integrity across systems

Work closely with Site Managers, CRCs, and the Recruitment Lead to understand study needs and enrollment goals

Provide regular updates on recruitment performance, barriers, and opportunities

Participate in weekly recruitment huddles to align on priorities and strategy

Follow all HIPAA, GCP, and internal SOP requirements when handling participant information

Use only IRB-approved recruitment materials and scripts

Maintain professionalism and confidentiality in all participant interactions
