Property Management Operations Coordinator
Jones Aur Commercial Real Estate is seeking a Property Management Operations Coordinator to oversee day-to-day property operations. This role focuses on tenant customer service, work order administration, vendor coordination, and preventative maintenance execution to ensure a high-quality tenant experience and operational efficiency.

Responsibilities
Receive, log, and create work orders for all tenant and property service requests
Acknowledge tenant requests in a timely and professional manner
Determine responsibility for charges and obtain required approvals (tenant, landlord, property manager)
Solicit and obtain vendor quotes when required
Dispatch approved vendors and coordinate scheduling with tenants
Provide status updates to tenants and property management
Monitor open work orders to ensure timely completion
Review completed work and close work orders in the system
Collect, review, and submit vendor invoices for payment
Coordinate tenant billbacks for billable work orders, including tenant approval and billing documentation
Obtain and track vendor Certificates of Insurance (COIs)
Maintain an active and compliant vendor database
Assist with vendor onboarding and documentation
Draft, execute, and track Vendor Service Agreements (VSAs)
Abstract key terms from vendor agreements and maintain a tracking log
Assist with execution of the Preventative Maintenance (PM) schedule, including inspections and recurring services
Coordinate property walkthroughs and site inspections
Prioritize repair requests based on urgency, safety, and operational impact
Coordinate vacancy cleanouts and prepare spaces for turnover
Conduct signage checks and coordinate repairs or replacements
Assist with property condition reporting and documentation
Assist with tenant onboarding and offboarding logistics including mailbox setup, access cards, and welcome letters
Coordinate vendor services required for move-ins and move-outs
Ensure spaces are operationally ready for occupancy
Process tenant access control requests (cards, fobs, credentials, etc.)
Maintain access records and ensure proper authorization documentation
Coordinate with building security or system vendors as needed
Maintain accurate records in property management and accounting systems
Ensure all service requests, vendor documentation, and agreements are properly stored and accessible
Assist with reporting related to maintenance activity, vendor performance, and tenant service metrics

Required
Strong organizational and task management skills
Ability to manage multiple requests and priorities in a fast-paced environment
Strong written and verbal communication skills with a customer-service mindset
Experience working with vendors and service providers
Tenant-focused service mindset
Strong follow-through and attention to detail
Problem-solving and prioritization skills
Ability to coordinate across tenants, vendors, and internal teams
Professional judgment regarding urgency and cost control
Preferred
2+ years of experience in property management, facilities coordination, or building operations
Familiarity with property management or work order systems
