Accounts Payable Specialist & Office Manager
Confidential is a well-established luxury custom home builder in the greater Seattle area seeking a detail-driven Accounts Payable Specialist who also serves as the Office Manager. This role supports both the financial operations and the day-to-day rhythm of the office, ensuring accuracy, organization, and continuity across multiple active construction projects.

Responsibilities
Approve and code invoices by job, cost code, and phase
Process weekly check and ACH disbursements; maintain check registers
Manage recurring expenses (utilities, telecom, insurance, subscriptions)
Maintain organized open and paid invoice files
Reconcile vendor statements and resolve discrepancies
Assist with month-end close and year-end 1099 preparation
Serve as the primary point of contact for day-to-day office operations
Maintain office supplies, systems, and vendor relationships
Coordinate onboarding logistics for new hires
Support scheduling, meeting setup, and general administrative needs
Ensure the office operates smoothly, professionally, and efficiently
Qualification
Required
3+ years of Accounts Payable experience
Strong organization, discretion, and follow-through
Clear communication and comfort working in an in-office, team-oriented environment
Preferred
Experience supporting office operations or serving in an office manager role
Familiarity with job-cost accounting systems (QuickBooks, Sage Intacct, Spectrum, or similar)
Construction or homebuilding experience strongly preferred
