Administrative Assistant III
Texas Health and Human Services Commission (HHSC) is dedicated to creating a positive impact in the lives of Texans. The Administrative Assistant III performs moderately complex administrative support and assists the Assistant Program Director in managing the administrative unit, ensuring effective communication, inventory management, and safety monitoring within the facility.

Responsibilities
Ensures coordination of communication to staff in building regarding any inclement weather issues, building utility shutdowns, telephone outages, or similar events in order to maintain a safe and hazard-free environment for patients and staff
Ensures inventory is maintained on all state property within the department; Orders equipment, office and medical supplies to promote staff having access to needed equipment and supplies to perform their duties and provide appropriate patient care
Serves as Additional Duty Safety Officer (ADSO) which includes providing ongoing monitoring of the environment for safety hazards or concerns and are proactive in providing safety training for staff assigned to their designated buildings as well as ensure work orders are entered upon finding an issue
Completes/Types/Reviews/Submits reports, minutes, audits, correspondence as requested or assigned including but not limited to 365-day report, IDD report, medical records audit, etc
Participates in assessing workflow and business practices in order to teach, model, and coach effective management strategies with assigned staff; conducts performance plans, evaluations and developmental notes of assigned staff in order to give employees feedback on their performance
Performs other duties as assigned in order to ensure services are provided
Qualification
Required
Graduation from a standard senior high school or equivalent
Experience in administrative support work
Knowledge of office practices and administrative procedures
Knowledge of HIPPA and confidentiality rules
Knowledge of the Electronic Medical Record (EMR)
Proficient knowledge and skills in computer use and the written language including spelling, punctuation, medical as well as psychiatric terminology
Skills in the use of standard office equipment and software
Ability to synthesize large amounts of information into a clearly written and concise document
Ability to coordinate team members so that plans and reviews are finalized according to policy
Ability to be productive and responsible in a professional environment
Ability to communicate effectively using both oral and written methods of communication
Ability to multi-task and work under pressure
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aid, Medication Aide and Employee Misconduct, List of Excluded Individuals/Entities (LEIE)
Males between the ages of 18-25 must be registered with the Selective Service
All applicants must be at least 18 years of age to be considered for employment at a state-operated facility
Flexibility in work hours may be required for this position
The position may be required to work overtime and/or extended hours
Compliance with HHSC immunization policy and state hospital operating procedures related to immunizations is required
