Corporate Qualifications Specialist

They are seeking a Corporate Qualifications Specialist responsible for developing and managing qualification packages that showcase the company's technical expertise and capabilities to prospective clients.

Consulting

Responsibilities

Create, update, and maintain corporate qualification materials such as:
Statements of Qualifications (SOQs)
Company profiles and capability statements
Project descriptions and case studies
Personnel resumes and bios
Standardized proposal sections (e.g., safety, quality, innovation, diversity, sustainability)
Collaborate with internal subject matter experts to gather accurate technical information and transform it into client‑ready content
Identify opportunities to leverage AI tools, automation, and intelligent content systems to improve SOQ efficiency, enhance repeatability, streamline content updates, and reduce manual rework
Maintain a centralized, version‑controlled library of qualification assets and associated templates, ensuring content is accurate, current, and easily accessible to authorized team members
Establish and follow rigorous documentation standards to protect GrayMatter’s confidential, proprietary, and sensitive information, ensuring all materials are handled in accordance with internal security protocols
Safeguard data by using approved storage systems, permissions, and access controls; proactively identify and mitigate risks related to information security or improper content distribution
Continuously improve templates, layouts, and content structures to enhance consistency, efficiency, and repeatability across all Statements of Qualifications and related materials
Track project history, performance metrics, and staff experience while ensuring that confidential information is properly redacted or restricted when appropriate
Ensure all qualification materials are:
Consistent with GrayMatter brand standards
Free of errors
Persuasive and client‑focused
Aligned with corporate strategy and messaging
Proofread and edit content for clarity, grammar, tone, and accuracy
Partner with marketing, business development, operations, and technical teams to tailor corporate qualifications for specific pursuits
Support proposal teams by providing accurate and up‑to‑date qualification content
Assist in developing processes and best practices to enhance efficiency and quality in qualifications work
Research client requirements, selection criteria, and industry expectations to ensure the company’s qualifications remain competitive
Tailor qualification materials to reflect client objectives, project needs, and market trends

Required

Bachelor's degree in English, Communications, Marketing, Business, or a related field (or equivalent experience)
Exceptional writing, editing, and content‑organization skills
Strong attention to detail and ability to manage multiple deadlines
Proficiency in Microsoft 365 (Word, PowerPoint, SharePoint), common document/presentation tools, and Adobe Acrobat
Ability to work collaboratively with cross‑functional teams

Preferred

3+ years of experience in proposals, marketing communications, technical writing, or corporate qualifications for industries such as systems integration, professional services, engineering, construction, or technology
Familiarity with CRM or content‑management systems
Working knowledge of proposal or procurement processes (RFQs, RFPs, SOQs)
Experience using AI‑powered content tools (e.g., Microsoft Copilot, ChatGPT, Grammarly, or similar) to streamline content development, improve SOQ repeatability, automate drafts, enhance quality, and support efficient knowledge management
