Office Manager

Valenti is looking for an Office Manager who excels in organizational skills and maintaining a productive office environment. The Office Manager will oversee daily office activities, manage supplies, and support various operational tasks while contributing to a positive workplace culture.

Responsibilities

Oversee day-to-day office activities as main point of contact in reception area, including welcoming visitors to the office
Order and stock office supplies, food & beverage, and misc. other consumable items
Maintain common areas including break room during working hours
Interface as required with nightly building cleaning service
Oversee and maintain office equipment for uninterrupted functionality
Primary point of contact with building property management including service/maintenance needs, amenity reservations, and ordering security badges / maintaining active employee list
Receive and distribute mail and packages; facilitate outgoing mail, package, and messenger service needs
Support planning and execution of meetings and events, including food delivery / catering when needed
Vendor Management with select outside vendors including phone system, wireless voice/data, copy/print
Support employee onboarding and offboarding processes
Implement document retention policy (primarily digital)
Provide as-needed direct administrative support such as contact database entries, making phone calls, preparing correspondence, preparation of printed materials, etc
Support CFO and project teams in administration of insurance program, implementing typical/recurring process and interfacing with outside vendor and project teams
Support executives in drafting of contracts using typical forms while managing associated document control
Support project teams with operational processes associated with project startup and closeout
Work with leadership to develop, implement, and maintain company policies and procedures
Occasional executive assistant tasks in support of principals

Required

Three years of office management or comparable work experience
Strong time-management and people skills, high degree of flexibility, and excellent multitasking ability
Desire to learn, grow, and take on additional responsibilities over time
Proficiency with office applications, and aptitude for learning new software and technology systems/platforms
Ability to maintain confidentiality of company information
