OFFICE ADMINISTRATIVE SUPERVISOR
Bay Cities Paving & Grading, Inc. is a company that provides technical administrative support across its office locations. The Office Administrative Supervisor is responsible for managing front desk operations, coordinating supply orders, and overseeing various administrative tasks to ensure efficient office functioning.
Responsibilities
Manage and provide back up for the Front Desk/Admin Assistant
Point of contact for any questions related to the processes and duties
Train and inspect the work of the Front Desk/Admin Assistant
Follow-up and mentor on issues needing correction
Coordinate supply orders for the offices, confirm the qty of orders, and distribute to the correct staff or location
Organize and distribute duties for work events
Collaborate for new ideas related to ordering, events, etc
Manage the following tasks:
Service accounts/vendors monthly to make sure we stay in contract with current prices and promos
All outside office needs and supply orders
Manages inventory tracking system in Excel and Spectrum to record deliveries, shipments and stock levels of office equipment and supplies
Assists in evaluation of costs and product levels to improve inventory control procedures
New office set ups and take-downs/moves
Process and review all invoices pertaining to overhead cost. Including all office expenses and IT software’s
Event planning, design, and production. Including proposing ideas for improvement of services and quality of events, and proactively handling any arising issues/problems on day of events. Along with those events, create and design visual content to display
Coordinate and communicate with local fundraisers and charities
Analyze fuel invoices in conjunction with Shop Manager/General Manager
In conjunction with Property Management group, manage all building maintenance issues for any needs pertaining to main headquarters
Manage IT Related Duties:
Internal IT software programs support
Liaison between Meriplex, Nextiva, HCSS and the office
Track and analyze phone data regarding usage, plans, and ordering
MDM & 365 for employee’s devices
New employee’s devices: iPhones, iPads, computers, and workstations
Phone data regarding usage, plans, and ordering
Manage fuel card, Home Depot, and Fast Track distribution
Manage security regarding setting up staff in Alarm.com and managing the security cameras
Aid in researching new software when needed
Manage innovation for the following:
Meeting agenda content for management when needed
Design, inventory, and budget for BCPG branded merchandise
Design content for mass emails to employees
Social media content regarding recruitment and new employee announcements
Forms including safety and general office needs
Utilize Microsoft Form surveys to maximize efficiency for the staff, organize events, and group data into one unified place
Create a more efficient workplace by proactively anticipating department needs
Aid in implementing new software when needed
Qualification
Required
Must have 3 years prior Administrative Assistance experience
A 4-year college degree is required
Proficient skills in Internet and Social Media skills
Proficient skills in Technical software skills
Proficient skills in Microsoft Excel
Proficient skills in Microsoft Outlook
Adaptable to change
Strong organizational skills
Excellent attention to detail
Friendly and professional communication skills
Self-motivated
Preferred
Technical administrative assistance experience is preferred
Degree in Business Administration is preferred
