Director of Operations
Dermatology Associates of Rochester is a fast-moving, high-performing multi-discipline practice specializing in Dermatology, Plastic Surgery, and a Cosmetic Center. The Director of Operations will oversee day-to-day operations, enhance patient experience, and improve practice performance through effective leadership and operational strategies.
Responsibilities
Develop, implement, and improve on existing operational processes to optimize clinic workflow and efficiency
Build and maintain centralized workflows, SOPs, checklists, and communication loops to reduce errors and prevent missteps
Understand and work with leadership team to improve on scheduling, patient flow, and resource allocation to maximize productivity
Partners with call center/scheduling teams to improve schedule utilization through proactive gap-filling, coaching, and performance monitoring
Monitor and manage inventory levels of medical supplies, equipment, and pharmaceuticals
Ensure compliance with regulatory standards, including HIPAA and OSHA regulations. May serve as the HIPAA Privacy/Security Officer
Oversee Team Leaders (Clinical/Nursing, Patient Relations, Billing, Cosmetics and Marketing)
Primarily work with the Leadership team performing 1:1s and coaching of these key team members
Conduct performance evaluations and provide ongoing feedback and coaching
Participate in recruitment, training, and supervision of administrative and clinical staff
Develop and implement staff training programs to enhance skills and knowledge
Develop and manage annual budgets, including revenue projections and expense control
Monitor financial performance and implement strategies to improve profitability
Oversee billing, coding, and collections processes to ensure accuracy and efficiency
Identify opportunities for cost savings and revenue enhancement
Ensure exceptional patient care by maintaining high standards of service quality
Implement patient satisfaction initiatives and monitor feedback to drive improvements
Resolve patient complaints or concerns in a timely and professional manner
Develop and implement strategies to attract and retain patients
Collaborate with senior management to develop long-term strategic plans and goals
Identify growth opportunities and market trends to enhance clinic offerings
Conduct market research and competitor analysis to inform strategic decision-making
Implement and support practice growth initiatives by improving operational capacity, consistency, and execution across all departments as well as expand services, increase market share, and drive revenue growth
Qualification
Required
Bachelor's degree in Healthcare Administration, Business Management, or related field is required
At least 5 years of experience in healthcare administration, with at least 2 years in a leadership role is required
A strong understanding of healthcare practice operations, including clinical workflows and billing processes, is required
Own a sound knowledge of healthcare regulations and compliance requirements is a must
Proven track record of financial management and budgeting experience is required
Exhibit excellent leadership and interpersonal skills, with proven ability to motivate and inspire a team
Previous experience utilizing health care management systems as well as proficiency in Microsoft Office Suite products
Possess exceptional problem-solving and decision-making abilities, operate in an organized and calm manner, and be confident in leading people
