OFFICE TECHNICIAN (TYPING) - EDUCATION

The California Department of Corrections & Rehabilitation is seeking an Office Technician (Typing) to provide clerical support for the Education Office. This role involves supervising incarcerated workers, preparing correspondence and reports, and responding to inquiries regarding education programs and policies.

Responsibilities

Provide reception/clerical support for the Education Office
Supervise at least two (2) incarcerated workers
Prepare complex correspondence, reports, charts, and graphs
Ensure correspondence and assignments are completed within current departmental guidelines
Proofread and make editorial recommendations to staff as necessary
Independently prepare non-routine typing jobs
Follow oral and written directions and evaluate situations accurately
Screen incoming telephone calls referring the caller to the appropriate staff
Independently respond to inquiries from institutional staff regarding Education Department programs, policies, and procedures
Maintain appropriate records
Independently prepare correspondence to institutional staff
Assist in preparing meeting agendas and minutes
Maintain an accurate assignment-tracking log
Track assignments as necessary and remind staff to ensure due dates are met
Respond to inquiries regarding assignment status
Assist staff in making meeting and training arrangements, ordering supplies, photocopying, and maintaining files

Individuals who are eligible for Training and Development assignment may also be considered for this position
Under the supervision of the Supervisor of Correctional Education Programs (SCEP) this position is expected to exercise a high degree of initiative and independence in assuming responsibility for providing reception/clerical support for the Education Office
This position is responsible for supervising at least two (2) incarcerated workers and is eligible for Institutional Worker Supervision Pay for this duty when all criteria have been met
Prepare complex correspondence, reports, charts, and graphs
Ensures correspondence and assignments are completed within current departmental guidelines
Proofreads and makes editorial recommendations to staff as necessary
Independently prepares non-routine typing jobs
Follows oral and written directions and evaluates situations accurately
Screens incoming telephone calls referring the caller to the appropriate staff
Independently responds to inquiries from institutional staff regarding Education Department programs, policies, and procedures
Maintains appropriate records
Independently prepares correspondence to institutional staff
Assists in preparing meeting agendas and minutes

The position(s) require(s) the ability to type at a minimum speed as designated on the Class Specifications
You must obtain a valid typing certificate confirming your ability to meet the minimum typing speed, prior to being hired
Possession of Minimum Qualifications will be verified prior to interview and/or appointment
If you are meeting Minimum Qualifications with education, you should include your unofficial transcripts/diploma for verification
Official transcripts may be required upon appointment
Candidates new to CDCR/CCHCS are required to submit to a background investigation process utilizing Live Scan Fingerprinting, as well as a Tuberculosis test/evaluation prior to appointment, followed by department annual Tuberculosis testing/evaluation thereafter
Applications received without an appropriate proctored Typing Certificate will be rejected for being incomplete and will not be considered
