Finance and Administrative Specialist
WineFetch is a company that focuses on providing solutions for the wine industry, and they are seeking a Finance and Administrative Specialist. This role is critical for ensuring smooth financial operations and administrative support, overseeing client billing, accounts payable/receivable, vendor management, and financial reporting while managing office administration.

Responsibilities
Maintain client license database and records in FieldPoint, GP, and MatterLink
Manage client invoicing (contracts, add-ons, new sales, PS services)
Oversee contract renewals, price increases, and notifications
Ensure compliance with tax status and billing laws
Enter and manage AP/AR, vendor contracts, renewals, and employee expenses
Reconcile accounts (PS, 3rd party, sales, attrition)
Manage concessions, credit memos, and write-offs
Oversee vendor renewals, facilities contracts, and SOC2 compliance documentation
Prepare and maintain weekly, monthly, and quarterly reports
Support strategic pricing and revenue analysis discussions by ensuring leadership has accurate data for decision-making
Support forecasting reviews by compiling and analyzing data to inform financial planning
Manage incoming calls, emails, and mail
Oversee office and IT supplies, copier contracts, and postage accounts
Support company events, outings, and internal communications
Manage web access portal & software downloads
Qualification
Required
1-2 year experience in business administration or accounting/finance
Familiarity with enterprise business systems
Strong Microsoft Office skills (especially Excel)
Effective analytical skills to sort, check and verify accounting figures
Strong organizational, time management, analytical, and communication skills
Extreme attention to detail
Expert problem solver
Good communication skills
