Trust Administrator Assistant
Commonwealth Trust Company is seeking a Trust Administrator Assistant to support their Trust Department. The role involves organizing documentation, administering accounts, processing transactions, and performing compliance tasks related to trusts.
Responsibilities
Request, receive, evaluate, and organize required documentation in connection with trusts for which the Company is being considered to serve as Trustee
Initial entry of information for trusts for which the Company serves as Trustee (hereinafter “Trusts”) into the Company’s accounting software, and file setup for Trusts
Administer opening bank and brokerage accounts for Trusts
Process directions for investment transactions to be carried out for Trusts
Process requests or directions for distributions from Trusts
Process payments of expenses of Trusts
Draft and send Crummey notices and other beneficiary notices when the Company is required to send them for Trusts
Request, receive, evaluate, and organize information and documentation in connection with the administration of Trusts
Record transactions and other information in the Company’s accounting software for Trusts
Perform annual reviews of Trusts
Assist with the collection of amounts owed for the Company’s services as Trustee
Perform Patriot Act compliance
Perform other administrative functions such as network organizing, scanning and filing
Run document comparisons
Other duties as assigned
Qualification
Required
Minimum High School graduate
Experience with Microsoft Office Suite required
Must be detail-oriented
Must have excellent communication skills
Must be able to multi-task and work independently
Preferred
B.A. or B.S. from an accredited 4-year college or university preferred
Additional certification (Paralegal certificate) or education (Cannon or ABA Trust School) a plus
One to seven years' experience with Trust Department, Law Firm, Bank or Trust Company working with estates, trusts or tax issues preferred
Experience with Salesforce or other CRM systems preferred
