Office Manager

Wow Bao is a fast-growing brand transforming the Asian Street Food experience, and they are seeking an Office Manager to ensure the smooth operation of their corporate office. The role involves overseeing office administration, coordinating corporate travel, and providing support for HR and employee engagement activities.

Responsibilities

Serve as the primary point of contact for all day-to-day office needs and inquiries including customer service
Maintain a clean, organized, well-stocked, and welcoming office environment
Manage office supplies, equipment, inventory (on-site and off-site), and relationships with vendors and building management
Oversee mail, shipping/receiving and general office logistics
Manage 3rd party IT support: assist with new user setup, tracking hardware/software needs, troubleshooting coordination, and ensuring timely resolution of IT issues
Perform calmly and effectively in an extremely busy and fast-paced work environment
Other tasks and projects assigned on an as needed basis
Work as an Executive Assistant to the CEO, supporting local and out of town travel needs, reconciling credit card statements, and assisting with special projects
Serve as the central point for booking and managing travel for corporate employees while adhering to the company travel policies
Available to assist outside of normal working hours as needed. This may include being on-call for after work hours, weekends and holidays
Support HR and employee experience activities, including new hire onboarding and off boarding
Payroll support by gathering, verifying, and submit bi-weekly payroll. Serve as the liaison to resolve issues or questions, ensuring accuracy and confidentiality
Foster a warm, positive environment that reflects Wow Bao's culture of CARE and values
Assist in planning events, celebrations, employee engagement activities, and team-building initiatives
Coordinate and oversee office meals, birthday celebrations, holiday events, and other special events including planning, company outings, ordering food, setup, and day-of-execution

Required

2+ years of experience in office management, HR support, payroll support, or administrative roles
Strong attention to detail with a sense of urgency, organization and follow-through
Possess a team mentality, with a yes I can / yes I will attitude
Excellent communication and interpersonal skills
Partake in a professional and positive work environment
Excellent reading, writing, and oral proficiency of the English language
Proficiency with Microsoft Office suite, experience with payroll platform is a plus
Ability to manage sensitive information with professional and discretion
Perform calmly and effectively in a fast-paced work environment

Preferred

Experience in coordinating corporate travel strongly preferred
Available to assist in special events such as Lollapalooza as needed
