Responsibilities
Review, code, and enter vendor invoices accurately
Match invoices with purchase orders, subcontract agreements, and receipts
Process vendor payments, maintain AP aging, and manage vendor inquiries
Assist with month‑end close including journal entries, account reconciliations, and financial reporting
Maintain accurate job cost records and ensure transactions are coded to the correct project and cost category
Support annual audits and provide required documentation
Ensure accounting practices comply with GAAP and internal policies
Prepare, review, and submit AIA G702/G703 billing applications in accordance with project contracts and schedule of values
Work closely with project managers to verify billing percentages, change orders, and supporting documentation
Track retainage, stored materials, and billing approvals
Prepare and process Notices to Owner (NTOs) according to project requirements and state deadlines
Generate, track, and collect lien waivers and releases (conditional and unconditional)
Ensure all lien rights are preserved and documentation aligns with payment schedules
Generate and submit invoices in compliance with contract terms
Track outstanding receivables, follow up on unpaid invoices, and assist with collections efforts
Reconcile customer accounts and resolve billing discrepancies
Qualification
Required
Bachelor's degree is required
Advanced proficiency in Microsoft Excel and strong general computer skills
Exceptional attention to detail, accuracy, and organizational ability
Strong communication and customer service skills
Ability to work independently, meet deadlines, and manage multiple projects simultaneously
Preferred
3–5+ years of construction industry accounting experience preferred
