Accounts Payable Coordinator
Gottlieb & Greenspan is a growing boutique law firm in Bergen County with a collaborative team and core values of ethics, respect, and accountability. They are seeking an Accounts Payable Coordinator to accurately process vendor invoices, manage expense reports, maintain financial records, and support month-end closings.
Responsibilities
Process vendor invoices, fee advances, expense reports, and check requests with accuracy and timeliness
Review and verify invoice approvals, coding, and supporting documentation
Reconcile vendor statements and resolve billing discrepancies
Maintain AP files, documentation, and audit-ready records
Prepare weekly payment batches (checks, ACH, and wires)
Assist with month-end close tasks, including accruals and reporting
Communicate with vendors, entities and internal teams to resolve issues professionally
Reconcile accounts to ensure accuracy of advances, disbursements, and refunds
Prepare reports on fee advance activity, aging, and recovery status
Support financial operations, process improvements and projects as needed
Promote a culture of accuracy, accountability, and continuous improvement
Qualification
Required
2+ years of accounts payable or general accounting experience; legal or professional services industry preferred
Familiarity with healthcare or reimbursement-related billing environments is a plus
Proficiency with accounting software (e.g., QuickBooks, NetSuite, Sage, or similar)
Strong Excel skills and comfort with data entry and reconciliation
Exceptional attention to detail and organizational skills
Ability to manage multiple priorities and meet deadlines
Strong communication and customer service skills
