Senior Payroll Administrator
Vaco by Highspring is seeking a Senior Payroll Administrator. The role involves the accurate and timely completion of payroll processing, compliance with federal and state regulations, and collaboration with various departments to enhance payroll systems and processes.
Responsibilities
The Payroll Administrator is responsible for the accurate and timely completion of payroll processing and the preparation of funding and reconciliation as it relates to payroll; maintaining compliance as it relates to all federal and state regulations
Advanced working knowledge of Oracle Fusion, including payroll processing, reporting, and system troubleshooting (required)
Proven experience using ADP, including integration and reconciliation processes (required)
Extensive experience processing multi-state payroll, including state and local tax compliance, registrations, and regulatory updates (required)
Strong ability to identify, articulate, and document system enhancements, including process improvements, automation opportunities, and testing requirements (required)
Ability to partner with HRIM, Finance, and IT teams to support system upgrades, implementations, and enhancements; collaboration with these stakeholders will be from the perspective of subject matter experts on the core handling of the employee payrolling function (required)
Working knowledge of employee benefits administration, including: (required)
Benefit eligibility determination, enrollment processes, coverage options, and contribution calculations, with sufficient knowledge to provide cross-functional backup support for the Benefits Administrator
Open Enrollment support, including system testing, validation, and post-enrollment audits
Auditing and reconciliation of benefit premium deductions to ensure accuracy between payroll and Centerpoint
Working knowledge of W/C administration, including (required)
Program management for FMLA, Short-Term Disability (STD), and Long-Term Disability (LTD) benefits, ensuring accurate leave tracking, wage calculations, and payroll processing
Oversight and coordination of Workers' Compensation, including collaboration with employees, HR, Facilities, and third-party administrators to support medical care, wage calculations, and payroll deductions
Working knowledge of the retirement plan administration, including (required)
Management of government retirement plans (401(a), 457(b), and 401(k)), including payroll and deduction processing, contribution management, reconciliations, and compliance reporting
Performs and manages all activities necessary to process payroll, including maintaining records, review of payroll reports for accuracy and will make necessary adjustments through established procedures
Responsible for governing all financial, tax, and payroll reports for internal and external purposes, including all filings and payments related to federal and state.3)
Responsible for overseeing all audits to ensure accurate processing and history tracking for all employee salary and benefit changes, this may include cost center changes, new hire and termination activity (Shared Services)
Responsible for providing timely and accurate responses to complex payroll related inquiry as it relates to expensive investigation of policy and/or processing
Participate in UAT as it relates to upgrades, enhancements, and patches to the HRIM system. Document and record issues in the appropriate incident management and/or testing system. Audit reports to ensure upgrades produce correct data. Revise and update communications, job aids and training materials
Responsible for keeping desk manuals containing all processes and procedures up to date as changes occur. Responsible for supporting the Retirement Plan operations and employee inquiries
Provide assistance with the employee benefit plans and all associated programs as well as maintaining partnerships with various vendors

5+ years of direct payroll experience and/or accounting or related field
High School Diploma | GED
Bachelor's Degree OR 3 years relevant experience, OR a combination of college education and relevant experience equivalent to 3 years in Business Administration or related field
