Product Coordinator (CRM Specialist)

Responsibilities
Serve as the primary administrator for HubSpot CRM (Marketing Hub, Sales Hub, and Service Hub), maintaining data integrity, user management, and system optimization
Design, implement, and maintain automated workflows within HubSpot to improve efficiency and customer engagement
Build and maintain custom dashboards and reports to track key performance indicators (KPIs) including sales metrics, customer engagement, product performance, and ROI
Conduct regular data audits to ensure accuracy and cleanliness of contact records, company data, deals, and custom properties throughout the CRM system
Manage HubSpot integrations with other platforms including Shopify (payment processing), website, member center/directory, event registration systems, and exam platforms
Analyze CRM data to identify trends, patterns, and opportunities for improvement; provide actionable recommendations to leadership and cross-functional teams
Serve as the internal HubSpot expert, providing training, troubleshooting support, and best practice guidance to team members across the organization
Monitor and support Exit Planning Institute's online member communication platform, CEPAConnect.com
Provide ongoing updates and support for EPI's monthly credentialing program, the Certified Exit Planning Advisor (CEPA) program
Support the creation of new products during the pre-production process and help ensure successful launches through CRM tracking and analysis
Run quality control/proofing for all new and current EPI products
Collaborate with the Fulfillment team to analyze customer feedback and product performance data, implementing improvements based on insights
Act as first point of contact for product-related questions from internal EPI team members
Qualification
Required
High School diploma required; Bachelor's degree preferred
2+ years of hands-on experience managing a CRM system required; HubSpot preferred
Strong data analysis skills with the ability to interpret metrics and translate insights into actionable strategies
Proficiency with Microsoft Suite (Excel, Word, PowerPoint, OneDrive, Teams, Outlook)
Detail-oriented with a strong commitment to data accuracy and quality
Excellent problem-solving skills and ability to troubleshoot technical issues independently
Exceptional verbal and written communication skills
Self-motivated with ability to work independently and as part of a cross-functional team
Preferred
1+ years in product management, project coordination, or related field preferred
Experience with Shopify, payment processing systems, and e-commerce integrations preferred
Experience in an education, training, or professional certification field preferred
Familiarity with additional tools: Adobe Creative Suite (Photoshop, Premiere Pro), Canva, Vimeo, online testing platforms preferred
Experience with membership management systems or learning management systems (LMS) preferred
