Responsibilities

Document Preparation: Prepare and meticulously format and proofread legal documents, including briefs, pleadings, and correspondence, ensuring compliance with court and firm standards
Court Filings: File state and federal court filings with precision, both electronically and traditionally, ensuring all documents are submitted correctly and on time
Client/Matter Management: Prepare and process new client/matter requests and assist attorneys with friendly client support
Document Management: Regularly update and maintain client files electronically within the firm's document management system, ensuring all information is current and accessible
Docketing: Maintain attorney calendars through Milana and Outlook (i.e. scheduling appointments, calendaring due dates, etc.)
Meeting and Travel Coordination: Arrange meetings and conference calls; may order meals and equipment as requested. Coordinate travel arrangements for assigned attorneys
Timekeeping, Billing, and Expense Reimbursements: enter and review timekeeper entries, applying correct litigation codes as necessary, and prepare expense reimbursement requests in a timely manner
Vendor Management: Review and ensure accuracy of vendor invoices; prepare accurate check requests and timely submit invoices for payment to client or accounting
Overflow and Backup Support: Provide assistance to paralegals, attorneys, and visitors, ensuring smooth operations in the absence of assigned secretaries

Required

Minimum of a high school diploma required (College degree is preferred, but not required)
A minimum of five years of experience as a legal secretary is required
Experience with Lexis Nexis, Pacer, ECF, Aderant Milana, and Concur
Demonstrated knowledge of legal terminology, legal documents, and legal processes in the Litigation Department, including the ability to mark and generate a table of contents and table of authorities
Strong computer proficiency in the use of MS Office (Word, Excel, PowerPoint, and Outlook), Document Management Systems, Time Entry, e-filing and database software
