Administrative Assistant
The Enhancement Center is seeking an Administrative Assistant to support their operations. This role involves conducting client intakes, managing client information, and ensuring compliance with financial obligations while maintaining professional relationships with clients and staff.

Responsibilities
Conduct client intakes over the phone and occasionally in-person. Establish rapport with potential clients through the intake process and the payment process. Establish relationship between the client and an Enhancement Center therapist
Process client intakes and/or assure they are processed correctly, as follows: a. Verify eligibility and benefits with insurance companies. b. Acquire prior authorizations when necessary. c. Consult with general manager, clinical directors and/or administrative staff to assign appropriate therapist to new client. d. Prepare intake for the assigned therapist and coordinate intake with appropriate personnel. e. Enter and update client information in Access database and EHR. f. Send consent form to clients electronically or prepare paper consent form for clients. g. Follow up with clients for additional information, as needed
Work with clients, their therapist, and the billers to ensure that clients are meeting their financial obligations for payment. a. Communicate with the client regarding their copay, coinsurance, and deductible information to the best of our knowledge at the time of intake and if any changes to that information occur. b. Work with the billers to establish the correct accounts receivable for clients. c. Work with clients to make necessary payments by sending invoices, charging credit cards, and direct phone calls. Follow up with clients who have been discharged and who also have a balance due. d. As needed, communicate accounts receivable issues with the clients’ therapist to develop a plan of action that best meets the clients’ financial and therapeutic needs. e. Provide update on clients’ accounts receivable to the executive director
Assist in developing improvements and making recommendations. Maintenance of operational procedures for medical records and administration
Oversee client/staff document management: creating, sending, tracking and filing electronic and hard copy forms
Provide requested information to clients, payors, and clinical staff; respond to records requests and other inquiries from outside entities
Attend regularly scheduled meetings
Perform work in adherence with HIPAA and Enhancement Center policies surrounding confidentiality
Office administration tasks: a. Copy, scan, print, and file documents. b. Answer telephone and direct calls. c. Receive and direct faxes. d. Assist the administrative staff with researching, developing, writing, and updating administrative policies, procedures, methods, guidelines, and training. e. Resolve administrative problems by analyzing information and identifying solutions. f. Provide requested information to clients, payors, and clinical staff; respond to records requests and inquiries from outside entities in a timely manner, typically within 24-48 hours. g. Collaborate and communicate effectively with senior and other administrative staff regarding status of administrative task assignments. h. Identify necessary office supplies which may need to be purchased. i. Stock office supplies
Communicate client issues and communicate updated information with therapists and administrative staff as appropriate and needed
Provide assistance with credentialing compliance: • Track expiration dates for licenses and insurance for therapist; send reminders to the therapists when their credentials are approaching expiration
Assist in maintaining a clean office environment
Maintain a professional and supportive relationship with clients, staff and outside vendors
Create and maintain content for the website, social media, and other advertising venues, including requesting and editing promotional content from therapists

Qualification
Required
High school diploma or GED required
Highly skilled in use of computers (including internet use) and computer programs including Microsoft Office (Word, Excel and Access)
Previous customer service experience required
Previous Administrative Assistant and Medical Records experience required
Effective communication skills to include both written and oral communication

The physical requirements of the position include but are not limited to, standing, walking, sitting for long periods of time, use of hands to finger, reach with hands and arms, balance, stoop, and squat

Must be able to lift and carry approximately 25 pounds
Must be able to speak/comprehend English and listen, hearing sound and words
Specific vision abilities required by the job include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus
