Responsibilities
Process accounts payable invoices in accordance with company procedures and financial principles
Verify, code, and post vendor invoices and ensure timely payments
Import and reconcile credit card statements; ensure receipts and compliance with company policies
Assist with employee expense reimbursements
Communicate with vendors and internal staff to resolve discrepancies
Maintain vendor records, including W-9 forms
Assist with subcontractor invoice processing and approvals
Support annual 1099 preparation
Track and maintain certificates of insurance for vendors and clients
Assist with initial project setup and updates in the accounting system
Post daily cash receipts and in-house expenses
Maintain organized vendor and project files
Support project accounting data accuracy and coding
Provide support with weekly union timecard processing
Assist with ad hoc accounting projects as needed
Provide backup administrative support, including answering and routing incoming calls
Qualification
Required
Associate degree in Accounting, Finance, Economics OR equivalent experience
3–5 years of experience in accounting
Strong attention to detail and organizational skills
Proficiency in Microsoft Excel and Outlook
Comfortable with 10-key and high-volume data entry
Preferred
Familiarity with FAR Cost Principles
AEC or professional services experience a plus
Experience with Deltek Ajera is a plus
