Administrative Assistant (Financial Services)
Phyton Talent Advisors is seeking an Administrative Assistant to provide comprehensive administrative and clerical support to Portfolio Managers and Client Advisors in their New York office. The role involves a variety of responsibilities including expense reporting, travel coordination, and meeting logistics, all aimed at supporting client service and investment operations.

Responsibilities
Greet visitors and callers; handle inquiries professionally, route calls appropriately, take messages, and resolve or escalate issues as needed
Prepare, process, and distribute incoming and outgoing mail and correspondence, including responses to advanced or sensitive inquiries
Maintain calendars; schedule appointments, meetings, and conference calls; prepare agendas and coordinate meeting logistics
Arrange domestic and international travel for investment team members and prepare and submit expense reports using Concur
Draft, type, and distribute meeting notes, routine correspondence, and internal reports
Coordinate meetings, receptions, and client events, including room setup and logistics
Prepare, organize, and maintain both paper and electronic filing systems for records, correspondence, and other materials
Assist in the preparation of presentation materials for client and prospective client meetings, including compiling, assembling, binding, and distributing materials
Operate standard office equipment (copiers, phone systems, computers) and utilize Microsoft Office applications for assigned work
Support special projects and ad-hoc administrative needs as assigned
Qualification
Required
Associate's degree in Business Administration or a related field
2–4 years of administrative experience, preferably within financial services or a professional office environment
Advanced knowledge of administrative and clerical procedures, including file management, recordkeeping, and office operations
Strong proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint
Excellent interpersonal and communication skills; comfortable interacting with clients and colleagues at all levels
Strong problem-solving skills with the ability to identify issues proactively and apply sound judgment
Exceptional time-management and organizational skills; able to manage competing priorities and meet deadlines under pressure
Clear and effective written and verbal communication skills with strong attention to grammar, tone, and professionalism
Demonstrated commitment to customer service with a responsive and service-oriented mindset
Team-oriented, collaborative, and adaptable, while also capable of working independently
High level of integrity, professionalism, and a positive attitude; self-starter who demonstrates initiative and flexibility
