Public Records Coordinator (Management Assistant II) - Communications Department

Responsibilities
Managing the intake, assignment, and fulfillment of public records requests for the City of Phoenix
Working closely with the Communications Office Public Records Requests (PRR) Analysts to review, redact, and process records
Managing high-profile and complex requests
Providing PRR guidance and oversight for all City departments, except Police, Fire, and Municipal Court
Collaborating with staff at all levels, including department liaisons, attorneys, City executives, Mayor, and City Council
Qualification
Required
Three years of professional-level experience in research, finance or public administration
Master's degree in business or public administration, or a related field
Other combinations of experience and education that meet the minimum requirements may be substituted
All finalists for positions are subject to a criminal background check applicable to the department or position
Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage
Ability to work collaboratively with staff at all levels, including executives and elected officials
Ability and comfortability managing high-profile and complex requests under tight deadlines
Adept at using reporting tools to track and analyze public records request activity
Demonstrates discretion and professionalism when handling confidential or sensitive information
Demonstrated knowledge of Arizona Public Records Law through training or work experience
Excellent written and verbal communication skills for internal and external interactions
Proactive in coordinating meetings and leading or facilitating strategy discussions when needed
Skilled in managing multiple priorities and deadlines with strong organizational efficiency
Skilled in redacting records with attention to detail and sound judgment
Strong analytical skills for reviewing responsive records and determining disclosure
Preferred
One year of experience reviewing, redacting, and or processing public records
One year of experience in government or public sector communications
Completed coursework in Legal Studies, Business Administration, Communications or a related field
Experience interpreting documents or data for contractual, legal, or regulatory compliance
Experience in handling media inquiries or high-profile requesters
Experience in Microsoft Office Suite and basic data tracking/reporting tools
Experience supervising staff
Experience as a liaison working with multiple internal and external teams, partners and stakeholders
Experience working with records or data management systems and software
