Human Resources Clerk

Responsibilities

Assist with biweekly payroll preparation, including timekeeping reviews, basic audits, and follow-up on missing punches or approvals
Enter and update employee data; run routine reports; monitor data integrity; escalate discrepancies
Address staff password resets and access issues in accordance with security protocols
Organize, audit, and maintain personnel files (electronic and paper) to meet YMCA policy and regulatory requirements; track expiring documents/certifications and coordinate collection with managers
Process requests for employment and salary verification within YMCA guidelines
Partner with hiring managers to obtain onboarding/compliance documents and to resolve routine HR questions
Complete assigned clerical tasks to support incident reporting and related documentation
Prepare basic HR reports, trackers, and logs as assigned (e.g., new hires, terminations, trainings)
Support seasonal initiatives and special projects (e.g., open enrollment, audits, trainings)
Handle sensitive information with discretion and in alignment with policy and law

Required

At least 1 year of experience in HR, payroll, recruitment, or administrative support (or equivalent combination of education/experience)
Proficiency with Microsoft Office (Word, Excel, Outlook); ability to learn HRIS/timekeeping systems
Strong attention to detail, organization, and time management; accuracy in data entry and document handling
Demonstrated integrity, discretion, and professional communication (written and verbal) with employees at all levels
Must be at least 21 years of age Valid Texas driver's license, reliable transportation, and the ability to travel to multiple locations within the greater San Antonio metropolitan area

Preferred

Experience with an HRIS and electronic document management (e.g., onboarding, personnel files, timekeeping)
Familiarity with HR processes (onboarding, I-9, file audits, employment verifications, payroll basics)
Experience working with diverse populations (language, culture, race, physical ability, sexual orientation, etc.)
