Responsibilities

Performs administrative management functions in support of office, project, and program operations
Reviews, interprets, and applies administrative policies and procedures; develops and implements local office policies as needed
Maintains and improves administrative systems and processes to enhance office efficiency
Composes complex correspondence for signature, routes documents for action, and ensures timely follow-up
Greets visitors, answers, directs, and follows up on incoming calls, ensuring all issues are addressed promptly
Reviews outgoing correspondence for compliance with organizational procedures and policies
Assembles, compiles, and analyzes information for reports, responses to inquiries, and more detailed correspondence
Oversees preparation of meeting minutes, presentations, reports, and the filing and organization of project documentation
Utilizes Microsoft Word, Excel, PowerPoint, and Access to prepare detailed charts, spreadsheets, slides, and reports for management presentations
Collects, tracks, and analyzes administrative and program-related data to support decision-making
Coordinates with internal staff, management, and cross-functional teams to support workflow, work distribution, and administrative operations
Assists with procurement activities including preparation of purchase requests, review of purchase orders, and tracking of office supplies and non-expendable property
Supports property management activities including inventory tracking, reporting, and compliance with federal property management guidelines
Provides administrative, program, and financial support to ensure compliance with applicable procedures and regulations
Provides accurate and timely status updates to management
Performs other duties as assigned

Required

Five (5) years or more of increasingly responsible administrative support experience, including at least two (2) years supporting executive-level management
One (1) year of specialized experience using quantitative and qualitative techniques to analyze and evaluate complex programs or projects
Excellent written and verbal communication skills
Strong attention to detail, organizational skills, and ability to manage multiple priorities in a fast-paced environment
Advanced ability to interpret and apply administrative policies and procedures
Intermediate to advanced proficiency with Microsoft Office Suite, including Word, Excel, PowerPoint, Access, and Outlook
Ability to provide guidance to staff on administrative processes and document preparation
Active Secret Clearance

Preferred

Bachelor's degree in Business Administration, Computer Science, or a related field preferred
Experience with program management, financial management, or automated program management systems is desirable
