Responsibilities

Schedule showings and broker opens; coordinate calendar invites for internal and external parties
Prepare and study MLS sheets to accurately answer property questions
Access lockbox/gate codes via Monday.com and prepare properties for viewing (lights, windows, AC/fireplace, candles/shoe covers as needed)
Set up sign-in sheets and ensure accurate guest documentation
Greet and escort agents and clients during property tours
Collect notes and feedback during visits and report back to the Listing Manager
Ensure property is secured after each showing
Conduct showings with a white-glove service mindset for our seller clients—and occasionally buyer clients
Host open houses, broker caravans, and manage related event logistics
Answer phone calls and emails related to showings (voicemails and emails must be handled within 30 minutes of receipt when possible)
Appropriately route inquiries (e.g., rentals to designated agent, messages for Sally via text on group thread)
Send timely follow-up emails to agents after showings
Timely communication (ability to communicate needs and high level notes while also multi tasking)
Consistent and clear communication is critical while juggling multiple tasks
Assist with coordinating appointments, meeting vendors, inspections, and other property-related visits
Track daily activities and submit end-of-day reports summarizing calls, updates, and important feedback
Assist with basic inbox and phone management as needed
Assist with internal systems and team processes, including file management, Dropbox, DocuSign, CAR ZipForms, and Monday.com
Support with MLS, inspection scheduling and communication, documentation, and listing-related administrative tasks
Help maintain organization across platforms and adapt to evolving systems – training provided

Required

Prior experience in real estate, hospitality, or customer service preferred
California Real Estate License or active pursuit thereof (in process of obtaining license)
Professional demeanor and communication skills
Reliable transportation, valid driver license, and proof of auto insurance with Liability Coverage
Proficiency with email, scheduling tools, and basic real estate platforms (MLS) a plus
Must be available to work every weekend and either: Monday or Tuesday
You will be expected to be available for weekends on an ongoing/regular basis; voluntary absences must be pre-approved and rare
Highly organized with strong multitasking abilities
Calm and composed under pressure—even when dealing with difficult emotions from others
Reliable, accountable, and quick to ask for help or clarification when needed
Able to adopt and follow systems and processes
Enthusiastic about learning and growing into a long-term support role on a high-performing team
Proactive, attentive, and able to think ahead while in the field
