Executive Assistant & Office Operations Manager
Sports Card Investor is a dynamic multi-brand company at the forefront of the trading card industry, seeking an Executive Assistant & Office Operations Manager. This role involves providing executive support to the CEO and Chief of Staff while managing core office administration needs, ensuring the team has what they need to perform effectively.
Responsibilities
Own and manage the calendar for the CEO
Schedule meetings with clear purpose, priorities, and appropriate participants
Protect focus time and flag overload or conflicts proactively
Coordinate travel and logistics as needed
Track action items, decisions, and follow-ups from CEO and leadership meetings
Help maintain leadership meeting cadence and operating rhythm
Monitor and triage inbound requests for the CEO and company through various email and social media inboxes
Handle some direct communication on behalf of the CEO
Draft or edit internal and external communications as appropriate
Ensure leadership has the right information at the right time
Act as a thoughtful filter for requests, questions, and interruptions
Assist CEO with task list management
Assist CEO and executive team with the execution of work-related tasks and errands
As needed, manage vendors or contractors performing tasks for CEO and executive team
Coordinate logistics and communication with board members, partners, and industry stakeholders
Serve as a professional and trusted point of contact for executive interactions
Support leadership with preparation for high-stakes meetings
Partner closely with the Chief of Staff to support execution and follow-through
Maintain simple trackers for leadership commitments and priorities
Anticipate needs and solve problems before they reach the CEO or CoS
Assist with hiring for key leadership roles
Manage office supplies, vendors, and basic facilities needs
Coordinate day-to-day office logistics for a small team
Ensure the office environment is organized, functional, and welcoming
Plan and execute internal events (offsites, team gatherings, celebrations)
Support leadership meetings or retreats from a logistics perspective
Help maintain team rituals and a positive in-office experience
Assist with light administrative tasks as needed to keep the office running smoothly
Provide ad hoc support during busy periods or special initiatives like store expansion
Qualification
Required
Strong organizational and time-management skills
Excellent judgment and discretion
Clear written and verbal communication
Ability to anticipate needs and think one step ahead
Comfortable balancing structured work with ambiguity
Trustworthy with sensitive information
Preferred
Interest in trading cards or collectibles is a plus (but not required)
Experience in an administrative, EA, or operations role (formal EA experience is a plus but not required)
