They are seeking a Remote Administrative Operations Analyst to manage operational finance workflows, vendor communications, and produce reports that enhance process efficiency and data accuracy.

Responsibilities
Manage day-to-day administrative operations: vendor setup, invoice routing, accounts payable coordination, expense reimbursements, and vendor communications for U.S. projects
Maintain and reconcile operational and financial records in the ERP and accounting systems; prepare weekly and monthly reports and dashboards for finance and project leads
Control document workflows—contracts, purchase orders, change orders, and closeout documentation—ensuring version control and audit-ready filing
Collaborate with project managers, finance, and HR to resolve discrepancies, expedite approvals, and support remote onboarding/offboarding needs
Identify and execute process improvements: create SOPs, build Excel macros/templates, and design Power BI reports to automate manual tasks and improve accuracy
Perform ad-hoc operational analysis, maintain KPIs, and produce executive-ready summaries that highlight risks and opportunities
Qualification
Required
Proven proficiency with Microsoft Excel (pivot tables, VLOOKUP/XLOOKUP, formulas, data cleanup)
Experience working with ERP systems (project or financial ERP used in construction)
Hands-on experience with accounts payable / invoice processing workflows
Familiarity with business intelligence tools (Power BI or equivalent) for reporting and dashboards
Experience using accounting platforms such as QuickBooks or similar
Strong data analysis skills and experience producing operational reports
Preferred
Prior experience supporting construction projects or contractors
Familiarity with construction project management software (e.g., Procore, Viewpoint)
Background in process improvement or experience implementing automation (macros, templates, workflow tools)
