Accounting Specialist

Responsibilities
Process vendor invoices, matching purchase orders, delivery tickets, and subcontract agreements
Verify coding for job cost accuracy (labor, materials, equipment, subcontractors, overhead)
Maintain subcontractor files, ensuring collection of W‑9s, certificates of insurance, lien waivers, and compliance documents
Assist with weekly check runs and electronic payments
Reconcile vendor statements and resolve discrepancies promptly
Prepare and submit progress billings (AIA G702/G703 or equivalent) for construction projects
Track billing schedules, retainage, and change orders
Monitor customer accounts and follow up on outstanding receivables
Assist the project team with billing documentation and backup requirements
Perform data entry for job costs, budget revisions, and cost‑to‑complete updates
Assist project managers with cost reports and job profitability tracking
Maintain job folders and ensure accurate supporting documentation
Collect, review, and enter daily field reports, timecards, and equipment logs
Support certified payroll reporting for prevailing wage projects (if applicable)
Maintain employee data, wage rates, and job classifications for labor costing
Assist with month-end close tasks, including reconciliations and accruals
Maintain organized digital and physical filing systems
Support auditors by preparing requested schedules and documentation
Assist overall accounting team with ad hoc reporting and special projects
Qualification
Required
2+ years of construction accounting or bookkeeping experience
2+ years experience within the construction industry (operations, job costing, or project billing)
Understanding of subcontractor invoicing, COIs, lien waivers, and retainage
Strong computer skills, including Excel and accounting software (e.g., HCSS HeavyJob, Sage 300 CRE, Viewpoint Vista, QuickBooks Contractor, Foundation, Procore)
High attention to detail and accuracy
Ability to meet deadlines and manage multiple priorities
