Recreation Coordinator - Customer Service

Responsibilities

Supervise assigned staff, volunteers, and contract instructors; prepare facilities for programs, rentals, and special events
Monitor work tasks, staff scheduling and assist with payroll
Develop and implement programs and special events by assessing the needs of internal and external stakeholders, including but not limited to, ensure program(s) goals and strategies are met, scheduling program dates, reserving program facilities, and collaborate with Marketing Administrator to promote and advertise programs
Maintain budget oversight of program area, including but not limited to, negotiating class and instructor fees, prepare cost analyses of program goals and strategies, purchase and maintain equipment and materials
Act as liaison with external stakeholders to establish and implement specialty programs, as needed
Investigate and respond to customer inquiries and complaints and respond appropriately to emergencies situations
Monitor resource allocation by maintaining program area supplies and equipment, evaluating and recommending budgetary needs for program area; act as liaison and process vendor and instructor payments
Complete inspection and maintenance of adaptive equipment before, during, and after use; notified leadership immediately of any equipment that is not able to be replaced or repaired
Assist with report preparation related to departmental activities and other administrative tasks, as needed
Acquire job specific certifications and training documentation related to job-specific program area and preschool
Provide recommendations to leaders regarding continuous improvements and process efficiencies that improve customer service
May represent the facility/program supervisor in their absence
Supervise, organize, and implement administrative activities relative to Civic Center and departmental service operations, including but not limited to cash handling, booking for Civic Center, parks, and pavilions, and coordination of building operations for both paid rentals and internal operations
Coordinate and oversee rentals and reservations including working with customers; provide on-site support including, but not limited to, set-up and take-down, Audio/Visual coordination
Process pre-rental and post-rental correspondence and surveys to ensure a successful experience and maintains customer retention
Process rentals into Civic Rec and ensure all rentals are properly booked
Serve as department customer service liaison; assist internal Denton Parks and Recreation frontline staff with customer service initiatives, including but not limited to, trainings, policy compliance, and ensuring premier guest service experience
Develop and implement training and onboarding program for all public-facing staff
Assist with selection,training,supervising, and evaluating staff; recommend assignment/assignment change, retention, discipline, and dismissal
Assist with developing, managing, and monitoring budget; maintain accurate budget reporting; ensure that operations are cost-effective, and funds are managed wisely

Required

High School Diploma or equivalent; and, Six (6) years of recreation experience or related field; and, One (1) year of supervisory experience
Bachelor's Degree from an accredited college or university in Recreation, Therapeutic Recreation, Kinesiology, or related field; and, Two (2) years of recreation experience or related field; and, One (1) year of supervisory experience
Any combination of related education, experience, certifications, and licenses that will result in a candidate successfully performing the essential functions of the job
Must have and maintain a valid Class “C” Driver's License and valid state required minimum automobile liability insurance prior to employment (must obtain Texas Class “C” driver's license and state required minimum automobile liability insurance within 90 days of hire per state law)
Must pass a drug test, driver's license check, criminal history background check, and social security number verification
Must pass a physical examination
Must have or obtain Red Cross or American Heart Association Adult CPR, AED & First Aid Certification within 30 days of employment (online training is not valid)
Knowledge of applicable Federal and State laws parks and recreation
Knowledge of leisure, social, health and legal needs of individuals with disabilities at all age levels
Knowledge of CPR/AED first aid procedures
Knowledge of childhood development that supports recreational activities that are organized, age appropriate and maintain interest
Knowledge of principles and theories of inclusion, universal design, and accessibility
Knowledge of the concepts and practices to integrate recreation programs for special needs population, training in behavior management, positive behavioral support as well as age-appropriate development
Skill in moderate problem solving; identifying moderate-to-complex problems and reviewing related information to develop and evaluate options and implement solutions
Skill at the intermediate level, working with Microsoft Office 365, and other software systems to complete work
Skill in providing exceptional service to internal and external customers
Ability to work independently to manage multiple work tasks while balancing competing priorities with attention to detail and in a fast-paced environment
Ability to establish and maintain effective interpersonal relationships
Ability to handle difficult and stressful situations with professional composure and confidentiality
Ability to communicate effectively, both in oral and written forms, for the needs of the audience
Ability to prepare budget documentation and to monitor expenditures to implement fiscal control and maintain budget compliance
Ability to lead and motivate others
Ability to be flexible and adaptable to changing work environment to facilitate/accomplish needed activities
Ability to develop, understand, interpret, and apply rules, policies, and procedures operations
