Hotel Sourcing Manager
The global event team is seeking a Hotel Sourcing Manager responsible for hotel and venue sourcing as well as client-facing proposals and contracting. This role involves negotiating contracts, managing relationships with hotels and venues, and ensuring accurate communication between clients and suppliers.
Responsibilities
Source hotels and venues for current, new and prospective clients, utilizing Cvent
Create hotel, venue and destination proposals and presentations
Analyze proposed hotel meeting space, room rates, concessions, etc. to see if they are a fit and/or meet the client’s needs
Assist in managing contractual provisions for hotels and venues
Ensure accurate and efficient professional communication between client, hotel, venues and GET employees
Negotiate and redline hotel contracts, seeing them through from initial sourcing to final signature
Track and follow-up on hotel commissions from executed programs
Schedule and plan hotel site inspections; coordinate with team member(s) who are traveling to run/operate site inspections
Create detailed hotel comparison presentations, with an eye for detail and proposed meeting space layout
Develop, manage and update hotel cost analysis; and work within budget constraints
Work closely with hotels, venues and vendors (overall supplier-partner management)
Maintain a database of preferred hotel and venue clauses, terms and conditions to be used for redlining contracts
Work with accounting and management to ensure proper tracking and follow-up for invoicing and commissions
Ability to research hotels and venues, as well as destinations
Remotely attend and contribute insight to staff meetings
Travel to Florida for mandatory in-person staff meetings and events (approx. three visits per year)
Some business travel for hotel site visits, industry trade shows, educational seminars, etc
Report biweekly to Sr. Director of Program Development and provide updates, as requested
Work quickly and efficiently under high-pressure situations, all while maintaining an eye for detail
Available as back-up contact for clients if management team members are absent
Remain current on industry trends and technology
Perform other tasks/duties as management deems appropriate to meet sourcing and business needs
Qualification
Required
Located in Florida and able to work East Coast hours
Five years minimum related experience; must have hotel sourcing experience
Excellent verbal, written and time-management skills
Incredible attention to detail, multitasking abilities and ability to meet tight deadlines
Strong computer skills required; must have ability to work in a Mac environment and use a number of online / cloud-based applications (Google Workspace, Slack, Monday, etc.)
Ability to read, analyze and interpret complex documents, including hotel proposals and meeting space analysis
An understanding that the workday doesn't always end at 5:30 or 6 p.m. when there's a deadline involved
Preferred
Bachelor's degree preferred
Cvent sourcing experience preferred
Keynote and Excel proficiency a huge plus
Experience with building and maintaining client relationships
