Office Coordinator
Compass Rose Management is a fast-paced technology-driven property management company seeking a full-time Office Coordinator responsible for reception and administrative support. The role involves managing communication, coordinating services, and maintaining office organization to ensure excellent customer service and efficiency.

Responsibilities
Answer calls coming in on the main phone line and directing them to proper management team
Coordinate services to ensure maximum efficiency and excellent customer service
Manage the Compass Rose Management voicemail
Show hospitality to all office walk-ins, great clients and guests, and direct them accordingly
Assist with conference room scheduling calendar
Ordering and stocking office supplies
Check and respond to or forward emails to appropriate team member(s)
Provide administrative support to various departments as necessary
Maintain order and cleanliness of kitchen, conference room & other office areas
Assist with special projects related to marketing, management, and office projects
Create and maintain documents and electronic files
Maintain customer confidence and protect operations by keeping information confidential
Process annual renewals for association business licenses, pool permits, and elevator certificates
Maintain spreadsheets for the organization of the office
Assist with onboarding of new communities
Assist with any other duties as needed
Qualification
Required
Must have a high school diploma or equivalent
Minimum of two years experience as a receptionist
Strong desire to provide good customer service
Proficient in Microsoft Word, Excel, and Office
Strong written and verbal communication skills
Ability to type at least 50 WPM
Able to learn new computer programs or databases without major oversight
Excellent organization and time management skills with ability to multitask and prioritize
Problem Solving Skills
Ability to work independently and act professionally at all times
Team player
Ability to learn and adapt to a new environment quickly
Ability to build and maintain positive and cooperative working relationships
Must have own transportation, driver's license, and driver's insurance
Preferred
Familiarity with community association management
Preferred experience in customer service and administrative positions
Microsoft Office: 1 year
Administrative experience: 1 year
