Human Resources Specialist

eTeam is seeking a Human Resources Specialist - Leave of Absence (LOA) to manage the interactive process related to accommodation requests and leaves of absence. This role acts as a liaison between employees and various partners to ensure compliance with leave and accommodation laws while maintaining accurate documentation.

Responsibilities

Drive the interactive process for all reasonable accommodation and leave of absence requests
Collaborate and communicate with internal partners (Management, Health Services, HR Business Partners, Legal) and external partners (Third-Party Leave Administrator, Workers’ Compensation) as needed
Process and track day-to-day leave and accommodation requests for union and non-union employees in coordination with the third-party leave administrator
Review leave administration processes to ensure compliance with applicable laws, including FMLA, CFRA, FEHA, USERRA, and ADA
Partner with the HR Coordinator - LOA to process and track all types of leaves, including Disability, Workers’ Compensation, Parental, Personal, and Professional leaves
Serve as the primary point of contact for employees regarding leave of absence and reasonable accommodation inquiries
Educate employees on leave and accommodation processes and empower them to navigate internal resources and third-party administrators independently
Maintain accurate employee leave and accommodation files using HR workflow systems and tracking tools
Submit HR transactions and workflow forms to support leave administration and processing
Partner with HR Business Partners on leave, accommodation, and attendance-related matters
Utilize HR systems and Microsoft Office tools to streamline and improve HR processes
Engage in interactive discussions with team members and draft/send communications throughout the leave process via email and regular mail
Mentor and support HR partners, including the HR Coordinator - LOA
Provide backup coverage and additional HR support as needed
Perform other duties as assigned

Required

Minimum of 2 years of general HR experience with knowledge of LOA and disability principles OR 1 year of LOA and disability-specific HR experience required
Working knowledge of state and federal leave laws and regulations, including FMLA, ADA, and Workers' Compensation
Knowledge of medical disability management required

Preferred

Bachelor's degree from a four-year college or university preferred; Human Resources, Business, Communications, or related field preferred, or certification in Leave of Absence administration
Experience supporting both union and non-union/represented employee populations, preferably in retail or hospitality environments
Experience with SAP or other HRIS platforms preferred
Proficiency with Microsoft Office Suite (Outlook, Excel, PowerPoint, Word, Teams)
Excellent verbal and written communication skills
Professional, personable, and able to exercise sound judgment when handling sensitive and confidential information
Proven ability to drive HR processes and deliver high-quality HR services
Flexible and adaptable in a fast-paced, evolving environment
Strong organizational, prioritization, problem-solving, and independent decision-making skills
