Responsibilities

Act as the primary point of contact for building management, ensuring smooth daily operations and a safe, well‑maintained workspace
Maintain a clean, organized, and fully stocked office environment aligned with company standards
Oversee vendor relationships for supplies, facilities maintenance, décor, catered meetings, office improvements, and workplace services
Be a consistent, engaged presence throughout the office—approachable, responsive, and tuned into daily needs
Assist with planning and executing office enhancements, moves, expansions, or remodel-related initiatives
Provide day‑to‑day direction to reception, file room, clerical, and litigation-support staff
Maintain a hands‑on leadership style—visible, collaborative, and actively involved in daily workflow
Ensure staff adhere to procedures, service expectations, and productivity standards; offer coaching and guidance when needed
Foster a culture of teamwork, accountability, and continuous improvement
Support senior leadership with scheduling, calendar coordination, and administrative tasks
Handle sensitive matters with discretion, maturity, and sound judgment
Identify opportunities to streamline processes and improve operational efficiency

Required

Minimum of 5 years of office administration experience, including oversight or mentorship of support staff
Strong organizational skills with the ability to multitask and stay ahead of operational needs
Excellent communication skills and the ability to build rapport at all levels of the organization
Tech-savvy with confidence using modern office systems and technology
Proficient in MS Office
Proven track record of reliability, professionalism, and strong work ethic

Preferred

Bachelor's Degree preferred
Experience in a legal, professional-services, or similar environment is a strong plus
Experience coordinating office moves, build-outs, or facilities projects highly preferred
Personality traits aligned with success in this role: empathetic, approachable, adaptable, proactive, and team-oriented
