Events and Marketing Manager

Responsibilities
Develop and implement a vision for Sheppard Pratt’s events from elevated special events, to stewardship events, to employee engagement events, working in collaboration with various stakeholders
Collaborate with operational leaders and stakeholders to develop and implement event strategies including event goals, timelines, budgets and promotional plans. Serve as a resource to provide guidance on departmental events
Create and manage event budgets ensuring cost-effectiveness while maintaining quality
Ensure special events incorporate novel approaches to ensure alignment with organizational goals including fundraising, developing new business, strengthening community relations, and building the brand
Lead post-event follow-up and analysis including debrief meeting and report for key stakeholders to assess event and identify future improvement opportunities
Serve as an ambassador attending other organizations’ events and building relationships with local community partners to build awareness of Sheppard Pratt
Stay current on event trends, technologies, and best practices to deliver innovative event experiences
Conduct site visits of venues as needed
Collaborate with the Marketing and Communications teams on creative and production of all event collateral as well event programming and promotion
Establish a playbook for event management including annual event calendar, individual event project trackers, and deliverables that align to strategic goals and priorities
Standardize pre/during/post-event workflows to ensure seamless execution of each event. Standardize event templates and checklists to facilitate seamless execution
Manage vendors to ensure highest quality and best pricing options to meet desired objectives
Develop and adhere to agreed-upon budgets for each event. Track all expenses and provide updates to leadership and other key stakeholders
Oversee RSVP tracking and confirmation process
Provide post-mortems on registrations, attendance, engagement, and ROI
Collaborate with and manage stakeholders on event process to ensure seamless execution on the day of the event including facility logistics, security, IT/AV, set-up and tear down, seating arrangements, technical, and atmosphere, for internal events and external as appropriate
Act as primary contact with vendors, venues, and production teams
Identify staffing and workflow plans including run-of-show
Oversee on-site operations including load-in, event day execution and breakdown, and troubleshoot issues that arise throughout the event
Assist in the management of sponsorships and partnerships, including working with other agency support for events
Represent Sheppard Pratt at community events and recruit other representatives as needed
Manage sponsorship budget including assessing requests relative to policy
Ensure all sponsorship benefits are fulfilled in accordance with sponsorship packages (e.g., attendees, logo, ads, etc.), coordinating with others as appropriate
Qualification
Required
Position requires a college degree and at least 5 years working in event management
Must possess exemplary level of professionalism, be detail-oriented, communicate with tact, and demonstrate strong organizational skills
Must be professional and flexible, with an ability to adapt and keep pace with changing workload demands
Experience with Microsoft Office is required
Requires flexible work hours to cover night and weekend events
Requires excellent communication skills to interact effectively with clients, coworkers, contractors, and staff, role model excellent customer service to others
Requires problem-solving skills in event planning, financial management of contracts and operations, and prompt resolution of client issues
Work meeting event planning and operations management needs involves attention to detail, schedule and deadlines, and very frequently (51-80% of work time) produces mental/visual stress and fatigue
Preferred
Experience in conference or hospitality industry is preferred
