Responsibilities

Manage daily office operations, including front desk duties and multi-line phone systems
Oversee calendar management and schedule appointments for staff and executives
Coordinate event planning activities and assist with training & development initiatives
Supervise administrative staff, ensuring effective team management and workflow delegation
Handle bookkeeping tasks using custom accounting program E Automate ( like QuickBooks), including invoicing, billing, and record keeping
Manage vendor relationships, negotiate contracts, and oversee procurement processes
Oversee human resources functions such as payroll processing, employee records management, and onboarding
Assist with budgeting activities and financial reporting to support organizational planning
Maintain filing systems and ensure proper documentation of all office records
Ensure excellent phone etiquette and communication skills are upheld across all interactions
Support medical office management tasks as needed, including patient scheduling and record maintenance

Required

Prior experience in office administration or office management is required
Proficiency in QuickBooks, calendar management software, and multi-line phone systems is essential

Excellent communication skills both verbal and written are necessary for success in this role

Preferred

Demonstrated supervisory experience overseeing administrative teams or staff is preferred
Experience with event planning, vendor management, payroll processing, and bookkeeping is highly desirable
Background in human resources or medical office management will be considered an asset
Prior experience in clerical or administrative roles within professional or healthcare settings is advantageous
