Event Coordinator

The Event Coordinator will manage end-to-end event operations, including planning, logistics, budgeting, and on-site execution for tech events and AWS-related conferences.
Responsibilities
Coordinate logistics for tech events and AWS-related conferences (booth + sponsorship activations, meetups, private dinners, workshops, etc.)
Build and manage event project plans, timelines, run-of-show documents, and checklists
Own event travel planning (flights, hotels, ground transport) and staff schedules
Coordinate shipping, receiving, and on-site setup/teardown for booths and materials
Manage event spend tracking and budgets (POs, invoices, reimbursements, and payment coordination)
Source, compare, and manage vendors (swag, printing, signage, booth build, A/V, catering, photographers, etc.)
Procure and maintain event collateral (swag, printed materials, booth assets, demo equipment)
Track inventory and ensure materials are ready, packed, and delivered on time
Serve as the day-of "operations quarterback" to keep everything running smoothly
Coordinate booth setup, badge pickup, internet/power needs, lead capture logistics, and staff rotations
Solve problems quickly (shipping delays, last-minute changes, vendor coordination)
Handle post-event returns/shipping, inventory check-in, and vendor follow-ups
Reconcile expenses and ensure invoices are processed correctly
Collect learnings and update playbooks for continuous improvement
Qualification
Required
Based in the United States and able to travel frequently, both domestically and internationally (including occasional evenings/weekends)
Must possess or be able to obtain valid passport and travel authorization for international business travel
Strong organizational skills and attention to detail (you love checklists and timelines)
Clear written and verbal communication skills
Comfortable juggling multiple moving parts and shifting priorities
Proficiency with common tools like Google Workspace (Docs/Sheets), Microsoft Office, or similar
Experience in AWS or Tech Events coordination a plus
Preferred
0–2 years of experience in events, marketing ops, hospitality, campus programming, or project coordination (Internships and student org experience absolutely count.)
Familiarity with tech events, cloud communities, or AWS ecosystem events
Experience with tools like Hubspot, Jira, Atlassian, Monday.com, Airtable, etc
Basic design/production comfort (e.g., Canva) and an eye for brand consistency
Experience coordinating vendors, shipping logistics, or expense tracking
