Office Operations & Administrative Assistant

SERHANT. is a leading real estate brokerage located in Jersey City, seeking a highly organized Office Operations & Administrative Assistant to support daily operations and transaction activities. This role involves serving as the first point of contact for clients and maintaining operational efficiency across the office.

Real Estate

Responsibilities

Serve as the primary point of contact for all incoming calls and office visitors
Maintain a professional, organized, and efficient office environment
Oversee office operations including internet, computers, printers, office supplies, security systems, HVAC coordination, and office-related bills
Coordinate internal meetings and office events
Work closely with agents and company owners to support daily real estate operations
Create, manage, and maintain accurate paper and electronic transaction files
Prepare and execute listing documents, sales contracts, and offer packages for company owners
Schedule showings, open houses, photoshoots, lockbox installations, and key coordination
Track and obtain showing feedback for sellers
Act as a secondary liaison with title companies to support documentation through closing
Verify accuracy and completeness of listings and documentation in the MLS
Identify missing or incorrect information and advise agents accordingly
Run MLS reports as needed
Maintain internal databases with precise, up-to-date information
Prepare listing materials and listing presentations for company owners
Update weekly sales meeting presentations
Assist the marketing team and company owners with special projects as needed

Required

Exceptional attention to detail and accuracy; no detail is too small
Ability to work efficiently and calmly in a fast-paced environment
Mature, professional demeanor with sound judgment and discretion
Strong verbal and written communication skills
Highly organized with the ability to prioritize and manage shifting responsibilities
Technologically proficient; able to learn new systems quickly and troubleshoot common issues
Proficient in Microsoft Word, Excel, PowerPoint, and Google Workspace
Ability to make effective decisions and solve problems independently
Team-oriented with a strong sense of accountability

Preferred

An active New Jersey real estate license is preferred
Prior real estate administrative or transactional experience is a plus
