Responsibilities

Manage and maintain the Division Manager's calendar and Division's master calendar
Assist in new staff orientation
Arrange appropriate training, maintain attendance records and training compliance for the Probation Division, including judges' chambers
Schedule and assemble meeting materials, draft agendas and meeting minutes, and arrange meeting area and equipment needed
Design informational materials for division events
Submit PP1s for division supplies and reconcile purchase requisitions
Maintain confidential files, direct confidential forms and other personnel information to necessary recipients
Collect and maintain records of staff's performance advisories and career progressions for submission to Human Resources
Answer litigant and attorney inquiries, explain scheduling process and procedure, and communicate policies to staff as needed
Maintain division phone listings
Be the division liaison to Operations and IT Divisions
Submit work orders as needed for building and grounds issues and equipment (e.g., copiers, faxes, machines)
Create special projects, as assigned
Perform other duties as required

Required

One year of experience performing a variety of clerical and support services to include typing, secretarial and administrative clerical work
Ability to use a keyboard, no minimum speed
Successful completion of a clerical training program with a minimum of 700 classroom training hours or 30 semester hour credits in secretarial science may be substituted for one year of the experience indicated above. Course work must include typing skills, methods and procedures
Certification of successful completion of the Civil Service Commission, Human Resource Development Institute (HRDI) Support Specialist Program may be substituted for six months of the required experience

Preferred

Knowledge of Word, Access and Excel would be helpful
