Responsibilities

Greet and welcome clients, visitors, and employees in a warm, professional manner
Maintain a clean, organized, and professional reception area at all times
Perform clerical duties, filing, data entry, scanning, and copying
Manage office inventory, order supplies, coordinate grocery and catering orders
Answer and direct incoming phone calls; take accurate messages and route inquiries to the appropriate departments
Process all incoming and outgoing mail, courier deliveries, and packages
Manage Outlook inboxes and ensure emails are handled appropriately and promptly
Support general scheduling needs as required
Coordinate logistics for internal and external meetings, including conference room bookings, catering arrangements, and preparation of printed or bound materials
Assist bank operations, HR, and administrative teams with various ad hoc tasks and projects
Ensure compliance with office safety protocols and OSHA regulations, including maintaining proper documentation

Required

Proven experience as a receptionist or in a similar role
Proficient in Microsoft Outlook and Microsoft Office (Word, Excel, PowerPoint)
Strong organizational and time-management skills with the ability to manage multiple priorities
Excellent communication and interpersonal skills
Ability to work independently and prioritize tasks effectively
Ability to maintain confidentiality and handle sensitive information
Ability to lift and move boxes or office supplies weighing up to 25 lbs
Additional required languages: English
