Operations Administrative Associate

Sharing Excess is a Philadelphia-based nonprofit focused on addressing food insecurity by rescuing surplus food and distributing it to those in need. The Operations Administrative Associate provides part-time administrative support to the operations team, focusing on data entry, recordkeeping, and internal coordination to ensure smooth day-to-day operations.

Responsibilities

Enter and maintain accurate data related to incoming and outgoing loads
Update spreadsheets and app-based records consistently and accurately
Support operations staff with documentation and administrative tasks
Help reconcile internal records and flag discrepancies for follow-up
Serve as a point of contact for basic internal communication related to operations tracking
Assist with general administrative needs as they arise

Required

Bachelor's degree in Business Administration, Supply Chain, Logistics, or a related field, or equivalent experience
1–2 years of experience in an administrative or operations support role
Strong attention to detail and organizational skills
Proficiency in Google Sheets and/or Microsoft Excel
Comfortable with data entry, recordkeeping, and routine administrative tasks
Clear and professional written and verbal communication skills
English and Spanish language proficiency
Reliable, punctual, and comfortable working independently
Proactive and detail-oriented with a strong sense of accountability
Interest in food justice and Sharing Excess's mission
