Client Services & Office Coordinator

Responsibilities

Answering and directing incoming phone calls
Updating company documents and forms
Accurately enter and maintain information across multiple internal databases
Coordinate conference room schedules and various internal and external office meetings
Utilize Microsoft Word, Outlook, Access, Excel, Adobe, and Canva proficiently to support daily operations
Communicating via phone and email with employees, clients, and other external contacts
Operating the copier and other office equipment
Filing company records
Processing incoming and outgoing mail
Maintain a tidy, welcoming front office and conference rooms, ensuring spaces are always client-ready
Oversee day-to-day office operations, including coordination with building services and facilities needs
Manage and maintain company inventory of office supplies
Ensure compliance with engineering firm licensing requirements and related documentation
Maintain and update the company’s business contacts database and contact lists
Maintain the company sign-out log, serving as an internal reference for employee availability, work status, and locations
Perform additional administrative and operational duties to assist and support the Support team and all other teams within the company
