Business Operations Coordinator

Tim Barber Architects (TBA) is seeking a detail-oriented, proactive, and resourceful Business Operations Coordinator to support the daily financial, administrative, and operational needs of their growing design studio. The ideal candidate will work closely with firm leadership and various vendors to ensure the smooth running of business operations.

Responsibilities

Support payroll preparation and coordination
Assist with Accounts Payable and Receivable, including invoice tracking, vendor payments, and staff reimbursements
Maintain spending to specific budget accounts, tracking expenses and reporting variances
Assist in preparing financial data for internal reporting and annual planning
Manage office supply inventory and place orders to maintain optimal stock levels
Coordinate the mail, receiving and shipping samples and materials
Coordinate with external service providers for maintenance and repairs (e.g., cleaners, HVAC, plumber, printer technician)
Uphold office standards of cleanliness, organization, and presentation to ensure a welcoming and professional environment
Maintain the firm-wide calendar, including staff meetings, deadlines, holidays, and office events
Coordinate firm outreach, in-person and Zoom meetings with clients and collaborators, dinners/coffee/drinks dates, and parking
Coordinate work-related travel arrangements for team members, including flights, hotels, and transportation
Assist staff with basic IT needs, upgrades, re-boots, etc
Serve as liaison between staff and external IT company for troubleshooting and technology needs
Maintain inventory of technology assets (computers, printers, software licenses, etc.)
Assist with employee onboarding and offboarding, including equipment setup and systems access

Required

4-year college degree in accounting, management, or business
5+ years of experience in office operations, finance, or administrative support
Experience in IT systems management
Working knowledge of BQE Core or comparable accounting/payroll systems
Proficiency with Microsoft Office Suite, Google Workspace, and project management tools (Asana, Monday, or similar)
Excellent attention to detail, discretion, and time management skills
Strong interpersonal and written communication abilities, with a collaborative and professional demeanor
Proven ability to anticipate needs, think critically, and offer proactive solutions

Preferred

Experience in an architecture, design, or professional services firm
