Business Affairs Manager
Randstad Enterprise is representing a leader in luxury beauty seeking a Manager, Business Affairs. This finance-focused role supports the Global Creative team and involves overseeing financial reporting, contract negotiations, and ensuring compliance with legal and financial protocols.

Responsibilities
Ensure accuracy of all financial records, reports, and documents:
Review and update the Production and Creative Freelancer Budget Trackers
Producing monthly Production and Creative Freelance Actuals to ensure charges are accurate and coded correctly
Investigate and resolve errors and inaccuracies
Update and maintain data reports for fiscal year spent YTD & YTG
Monitor all rebills and reclasses with finance and other departments to ensure accurate posting
Facilitate weekly review meetings of the Production Budget Tracker with Creative Operations, Production and Finance teams to ensure accurate tracking of spending, address unplanned projects and reconcile costs
Participate in monthly meetings with Corporate Finance to analyze spend and budget allocation
Facilitate monthly meetings with all other Creative subdepartments and monitor budgets accordingly
Attend monthly meetings to analyze spending and budget allocation
Build monthly estimates for Production for Corporate Finance and ensure spending is aligned with strategic plans
Generate purchase orders in the Ariba system, across multiple cost centers and GL accounts
Utilize SAP to cross-check GR/IR balances, investigate missing payments, vendor terms, etc
Process, reconcile and track vendor invoices for Creative team using the CMC (Creative Meeting Card)
Update vendors and staff on outstanding payments
Draft and review all Production related contracts in coordination with legal team and internal producers, utilizing self-serve legal portal and engaging with legal team as needed. execute contracts based on producer’s negotiations with agents and production companies. Ensuring agreements are fully executed by shoot date by
Serve as Power User, resource and point of contact for all financial and legal questions within the department and brand
Communicate and resolve any issues with vendors, Corporate Finance, and internal team members
Support Executive Director, Creative Operations and hiring managers in review and scheduling candidates for open roles and support general recruiting workstream
Qualification
Required
Bachelor's degree or equivalent experience
5-7+ years finance, legal, or related experience
Minimum of 3 years working with complex Excel documents with a strong understanding of formulas
A natural problem solver and collaborator. Strong communication skills
Detail-oriented, analytical thinker with the ability to methodically comb through large amounts of data
Exceptional organizational, prioritization, and time management skills
Comfortable working independently in fast-paced environment where juggling multiple projects simultaneously is a given
Ability to exhibit grace under pressure and maintain a positive attitude and sense of humor under stress
Preferred
Experience working within SAP and Ariba
Experience working in AirTable
Experience negotiating contracts
