Executive Administrative Assistant
RP Pro Services is a rapidly growing Technology consulting firm headquartered in Virginia. The company is seeking an Executive Administrative Assistant to provide high-level administrative, writing, and editorial support to senior leadership within the National Science Foundation’s Office of Legislative and Public Affairs.

Responsibilities
Draft, review, and edit official correspondence, memoranda, policies, and issuances for internal and external distribution
Ensure all written materials align with the NSF brand, established style guides, and federal communication standards
Maintain and update a style guide consistent with NSF and Office of the Director practices
Draft, review, and edit agency-wide policies, procedural documents, and guidance materials
Develop, document, and maintain standard operating procedures (SOPs) in support of OD and OLPA operations
Maintain and organize document libraries, ensuring version control and accessibility
Accurately enter and manage information within databases and tracking systems
Apply basic to intermediate formatting skills to reports, presentations, and spreadsheets
Draft email responses and correspondence on behalf of senior leadership with professionalism, diplomacy, and tact
Coordinate closely with OLPA leadership, staff, contractors, and external stakeholders to support executive operations
Communicate consistently with discretion, professionalism, and strong interpersonal skills in a high-visibility environment
Qualification
Required
Bachelor's degree in communications, public relations, marketing, data analytics, or a related field (preferred)
Minimum 5 years of professional writing and editing experience, including drafting official memos, internal and external correspondence, and policy documents
Minimum 5 years of experience in administrative coordination, project management, or a combination thereof in a fast-paced environment
Demonstrated experience creating, formatting, and managing reports and presentations using Microsoft Office Suite
Familiarity with federal communication requirements, including the Plain Writing Act of 2010 and Section 508 compliance
Strong command of grammar, spelling, punctuation, and editorial standards
Exceptional attention to detail and organizational skills
Ability to communicate with professionalism, diplomacy, and tact at all levels of an organization
Ability to work for any U.S. employer without requiring sponsorship
Preferred
Previous experience supporting senior executives within a federal agency or Office of the Director environment
Experience developing SOPs, style guides, or policy documentation for federal programs
Familiarity with NSF, OLPA, or similar legislative and public affairs offices
Experience managing document repositories and records in compliance with federal guidelines
