Responsibilities

Manage calendars for team leaders and other staff members as required
Serve as the primary coordinator for AME activities, including scheduling meetings, coordinating audits, arranging catering, preparing materials, and managing travel logistics
Oversee coordination of annual events; Quality in Action (QIA) event, etc
Update SharePoint, Outlook, Teams distribution list for the 12 Capital COPs, 400 SMEs and Division Steering team list
Update Capital training materials and SME recognitions in PowerPoint
Update Excel and Planview for newly authorized capital requisitions
Coordinate weekly agenda for the Capital COE Department meetings and quarterly capital offsite meetings including logistics, calendars, materials needed to help prepare
Maintain accurate calendar, phone, and travel records
Oversee and manage SharePoint and Teams Channels
Manage distribution lists in Outlook
Prepare and edit correspondence, communications, presentations, and other documents
Coordinate and organize meetings, including preparing agendas and taking minutes
Initiate and oversee the purchase order process
Process expense reports using Concur
Fulfill other duties as assigned

Required

> 5 years relative administrative experience
Evening/ Early morning meetings
In-office presence required with flexibility as needed
Effective verbal and written communication skills
Strong organizational and administrative abilities with attention to detail
Self-motivated and proactive approach to tasks
Capable of working collaboratively in a fast-paced team environment
Adaptable to changing trends and technologies, with a willingness to learn and implement new processes
Proficient in computer and technology applications
Presents a professional demeanor and appearance
Reliable, accessible, and dependable work ethic
Demonstrates consistent professional composure and demeanor in all situations
SharePoint experience
High Proficiency in Office365 (Excel, PowerPoint, Word)
Run Teams meetings
