LHH Recruitment Solutions is currently seeking an Office Administrator to join our client's organization in the Chicago, IL area. The Office Administrator will serve as the primary liaison with building management, oversee vendor relationships, and maintain an efficient work environment to support productivity.

Responsibilities

Serve as the primary liaison with building management to ensure smooth office operations, safety compliance, and facility upkeep
Maintain an organized, well‑equipped, and efficient work environment that supports productivity and reflects company standards
Oversee vendor and service provider relationships, including facilities, office supplies, décor, catering, events, office moves, and general workplace services
Maintain a visible, engaged presence throughout the office—remaining approachable, responsive, and attentive to daily needs
Assist with planning and executing office moves, expansions, and remodeling projects
Provide leadership and support to clerical, reception, litigation support, or file room staff as applicable
Model company values through hands‑on, collaborative leadership and active involvement in daily workflow
Ensure staff follow procedures, productivity expectations, and service standards, offering coaching where needed
Foster a positive, team‑oriented culture focused on accountability, continuous improvement, and strong internal service
Support leadership with administrative tasks, including calendar coordination
Handle sensitive matters such as client inquiries or complaints with professionalism, discretion, and sound judgment

Qualification

Required

Minimum of five years of office administration experience; supervisory experience strongly preferred
Demonstrated ability to motivate, empower, and positively influence staff
Strong organizational, multitasking, and communication skills
Excellent problem‑solving and analytical abilities
Proficiency with computers and comfort with office technology
Proven reliability, maturity, and strong work ethic

Preferred

Bachelor's degree in Business Administration preferred
Experience in a law office or legal environment is a plus
Experience supporting office moves or remodel projects highly preferred
Personable, confident, resourceful, and committed to continuous process improvement
