Responsibilities

Oversee the daily operation and use of the Salesforce Ascend prospect tracking module, including directing, monitoring, editing, updating, and auditing end-user data entry processes and data preparation related to prospect manager assignments, wealth and affinity ratings, proposal development, cultivation, and solicitation (moves management) codes, contact reporting, actions, and tasks, etc
Work closely with Development staff and the Research and Prospect Development staff to create a process for analyzing portfolios and levels of engagement, ensuring appropriate coverage of all viable major and principal gift prospects
Provide counsel, advice, and feedback on major gift fundraising activity, pipeline management, and effectiveness to the VP of University Advancement and senior unit managers
Lead and facilitate prospect and portfolio review sessions and work with fundraisers and managers to ensure coordination of strategies and actions, and recording of the same in the tracking module
Design, develop, and maintain customized information management database website, and electronic resource and library systems
Create a customized database system and maintain the integrity of the department's production log (Research Queue). Develop customized filters, queries, and reports for management and individual staff end-users
Develop and maintain an electronic library and information tracking system for the cataloging, coding, and retrieval of the department's extensive library resources and filing systems
Provide leadership support, direction, site development, and maintenance for the department's intranet and website, as well as electronic communications tools (newsletters, bios, data storage, archives, downloading and retrieval systems)
Work closely with fundraising and development staff to ensure the accuracy, reliability and maintenance of all leadership, major, principal and planning giving prospect data
Define needs and design and organize work systems to meet the needs of fundraising field staff and development managers, ensuring effective prospect management and tracking across the entire development community
Work with Development IT staff to provide and create training and orientation for new and existing development officers and support staff, including office visits for personalized consultations
Follow up with Development Officers (DoDs) to ensure understanding of prospect management goals and objectives and proper use of the prospect management module
Manage and oversee prospect management policies and procedures, including writing and creating documentation for a prospect management manual, forms related to prospect management/tracking, and other related training materials
Assist with work related to the campus-wide prospect management and tracking system (Salesforce Ascend) as needed. Work in a team environment with the Director of Development Prospect & Research Management in the direction and training of Research staff and student assistants

Individuals will also be required to work some nights and weekends, when necessary, and travel (via plane, train, or car) at least 15% of the time within and outside of the state of Georgia

Bachelor's degree and three years of related experience; or a combination of education and related experience
