Responsibilities
Manage and prioritize the Senior Director’s calendar
Coordinate internal and external meetings and logistics
Handle daily administrative needs with professionalism and confidentiality
Keep communication and priorities organized so nothing slips through the cracks
Track deadlines, action items, and ongoing initiatives
Take ownership of recurring workflows to reduce administrative burden
Prepare materials for presentations, team meetings, and planning sessions
Coordinate with internal departments and external partners to keep projects moving
Assist with hiring workflows, onboarding tasks, and team support
Maintain organized digital systems (files, trackers, workflows, checklists)
Run occasional errands or complete small in-office tasks (mail, printing, supplies)
Qualification
Required
Proven experience as an Executive Assistant, Operations Assistant, or Project Coordinator
Strong attention to detail and natural follow-through
Excellent written and verbal communication skills
Proficiency in Google Workspace and Microsoft Office (especially Excel & PowerPoint)
Able to absorb context quickly and work with minimal supervision
Comfortable adapting to changing priorities and fast-moving days
Discreet, dependable, and trustworthy with sensitive information
High school diploma required
