Senior Marketing & Business Development Coordinator
Zuckerman Spaeder LLP is a professional services firm seeking a Senior Marketing & Business Development Coordinator to contribute to their Marketing & Business Development team. The role involves executing business development, marketing, communications, and event initiatives while ensuring high-quality deliverables and supporting firm-wide hospitality needs.
Legal
Responsibilities
Support the planning and execution of client-facing, pro bono, and internal events, seminars, webinars, sponsorships, and internal programs
Coordinate logistics including researching and selecting venues; managing vendor relationships; drafting error-free invitations; managing registration; organizing supporting materials including name tags, signage, handouts, and PPTs; shipping; and day-of support
Assist with tracking, recording, and reporting on event attendance, engagement, and return on investment
Maintain event calendars on the firm website and internal intranet
Support firm-wide hospitality needs as required
Edit and maintain marketing collateral, including website content, advertisements, attorney biographies, pitch materials, brochures, presentations, and client communications, adhering to firm brand standards
Coordinate internal and external communications, including newsletters, event promotions, and other updates
Support thought leadership, speaking engagements, and social media content in collaboration with Senior Communications Manager
Support the tracking and monitoring of firm clients and prospects
Assist with formatting and proofreading pitches and proposals
Develop background documents to prepare attorneys for client and prospective client engagement
Provide support to the Marketing Technology Manager with CRM and marketing databases, including contact management and data integrity
Produce attendee lists, reports, dashboards, and metrics related to proposals, events, and campaigns
Identify opportunities to leverage technology, including CRM tools and AI-enabled solutions, to improve efficiency
Provide project and administrative support to Marketing & Business Development leadership, including scheduling, meeting preparation, and material development
Coordinate firm-wide attorney photo processes, including scheduling shoots with attorneys and outside vendor, overseeing appointments, selecting photos and obtaining art files, and ensuring attorney satisfaction with the process and final product
Serve as the point person for the firm’s inventory of promotional items (swag), including determining needs, selecting items, identifying and vetting vendors, providing reviews, and maintaining inventory
Field and fulfill requests for new business cards
Process and track marketing expenses
Support departmental initiatives and special projects as assigned
Qualification
Required
Provides exemplary customer service to clients, attorneys and staff
Exceptional attention to detail and commitment to producing high-quality work
Strong written and verbal communication skills, including editing and proofreading
Highly organized, responsive, and able to manage multiple priorities under pressure
Collaborative team player who can both take direction and work independently
Strong relationship-building skills and commitment to learning and following firm and department processes and procedures
Client-service mindset with professionalism, discretion, and sound judgment
Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, and Teams; experience with CRM systems (e.g., InterAction), the Adobe suite, and event or email marketing platforms such as Vuture, preferred
Willingness to work outside standard business hours as needed to support events and deadlines
Ability to travel periodically
Commitment to confidentiality, professional growth, and fostering a collegial, inclusive culture
Bachelor's Degree from a four-year accredited college or university required
Minimum of 3 years of experience in marketing, business development, events, or related roles within a law firm or professional services environment
Preferred
Experience supporting client events strongly preferred
Project management, event planning, or hospitality experience is a plus
